HOA Elects Inc offers HOA Boards and Management Companies expert and affordable election services, including creating, distributing, and collecting ballots and other materials.

In addition, we serve as Inspector of Elections for annual meetings, special assessments, governing document revisions, and any other vote requiring double envelope secret ballots and Inspector of Elections services.

Election Services

Ballot Package Preparation

Following your Bylaws, election rules, and civil code, and in close cooperation with your manager and legal counsel, we’ll help you create ballots and mailing materials for your election, including calls for candidates and other required mailings.

We provide an election timeline and create calendar invites for the major milestones, including the pre-ballot notice, call for candidates, ballot mailing, and the deadline for voting

Ballot Distribution and Collection

We will arrange for your ballot package to be mailed, and upon request, receive and store ballots in a secure location, and personally deliver to your election meeting.

As ballots are received and logged daily, giving you online access in real-time to your ballot count, so you can track incoming ballots and predict your ability to meet quorum requirements.

Serve as Inspector of Elections

We will provide trained Inspectors to oversee the election, open ballots, tally ballots, and announce results. Upon request, we will retain ballots in our offices and keep them available for inspection for up to one year.

Since all services are conducted virtually, there is no additional charge if you have difficulty making a quorum, and there is a discount if the election ends up being by acclimation.

SB 323 Compliant

California SB 323 came into effect January 1, 2020, and made broad changes to California HOA election law. We ensure all of our operations comply with this new law.

Many elections are uncontested. It is still a good idea to have an independent third party monitor the process and certify the results if your documents allow election by acclamation. We offer discounts for this service!

Self Managed Associations

Lean on our experience to help guide your community through your elections. As volunteers, it is difficult to stay abreast of the ever-changing legal landscape regulating HOAs in California. We’re here to help. There is no reason for a self-managed association to take on the additional risk of cutting corners.

Custom Packages

We encourage Associations to utilize their management company to create and distribute ballots. However, with changes in the law, the management company can no longer serve as Inspector of Election. We are happy to fill this role without busting your budget. In this way, your management company does not lose out on revenue for the distribution of ballots and other mailers.
